Zoom’s Workplace: now with Automation and more added Enhancements

 

  • Zoom Workflow Automation streamlines work across Zoom Workplace and third-party apps such as Jira
  • Zoom Workflow now aided by AI Companion and automation to summarise and provide actionable insights
  • Zoom Clips avatars offer a library of avatars to generate video clips at scale

Zoom has announced the launch of several innovations across Zoom Workplace and Business Services, including the general availability launch of Zoom Workflow Automation enables users to get more done by helping users build complex workflows across Zoom Workplace, including Zoom Meetings, Zoom Team Chat, and Zoom Docs, as well as third-party applications. Zoom also announced new Zoom Clips avatars, as well as feature updates for Zoom Rooms, Zoom Docs, and Zoom Whiteboard.  

“Empowering people with AI to help them get more done is core to what we do at Zoom,” said Wei Li, head of Team Chat at Zoom. “Workflow Automation not only takes repetitive tasks off of employees’ shoulders, it’s easy to use, even for teams who don’t have technical backgrounds.”  


Actions that will automatically run in a certain order once a trigger occurs

Workflow Automation enables both IT admins and end users to set up steps and actions that will automatically run in a certain order once a trigger occurs. An example of a trigger could be an AI Companion meeting summary generated after a meeting, and automatically having it added to a dedicated Zoom Doc, Google Doc, or Word doc that is then shared in a Team Chat channel. Teams who use multiple collaborator platforms often struggle with fragmented communication, unable to keep track of information and project updates, and now Workflow Automation helps teams stay up to date and collaborative.    


Build workflows that integrate with Jira

Manually building workflows can be time-consuming, and two examples of the time saving abilities are:

  • When enabled by the host, Zoom AI Companion meeting summary can generate a list of action items for participants following a meeting. By using Workflow Automation, employees can set up a workflow that will automatically create a Zoom Doc or a Google Doc from the meeting summary listing those action items, saving users valuable time. 
  • Combine conditional logic and sequential automation to build smarter, more dynamic workflows and seamlessly integrate third-party applications, such as Google, Microsoft, and Jira with Zoom Workplace’s open collaboration platform. Connecting third-party integrations helps users reduce context switching. 


Uses no-code technology and templates to automate tasks

Users need not have any prior experience and technical knowledge of building workflows, as Workflow Automation uses no-code technology and templates to automate tasks. Some examples are:

  • Keeping teams aligned and organised by automatically adding AI Companion meeting summaries to a dedicated Zoom Doc that is then shared in a chat channel. 
  • Automatically have AI Companion add summarised Zoom Team Chat conversations at a specified time regularly to a dedicated channel or Zoom Doc so teams can stay up to date on current projects. 
  • Simplify time-off request management with a chat-based form that enables quick request approvals and automatically notifies team members. 
  • Immediately welcome a new Team Chat channel member with a templatised form to support the onboarding process.  

Workflow Automation is available at no additional cost for those with paid plans during the trial period – download version 6.3.10 of the Zoom desktop app.  


Zoom Workplace and AI Companion
 

In addition to Workflow Automation, Zoom launched Zoom Workplace and AI Companion feature updates to make collaborating easier before, during, and after meetings. Anticipated availability is March 2025 (some regional timings will vary)

  • Generate Zoom Clips with the new Zoom Clips avatars with AI Companion. Users can generate a Clip by simply selecting from a library of 18 pre-generated avatars and adding a script. Using a template avatar for a Clip removes the need to re-record a video multiple times and helps reduce unnecessary meetings, such as those held in different time zones. 
  • Users can now create and distribute forms in Zoom Docs to gather information from others within their organisation or externally. The data table sub-row enables nested items within a table to be created under parent headings for easier management and project tracking. Forms and Data table sub-row is expected to be available later this month. Additionally, users can now instantly create charts in Zoom Docs using data tables with the dashboard feature, as well as use synced data tables to keep data tables updated across different Docs reflecting changes made in synced tables in real time, even from another Doc.  
  • With companion audio for Zoom Rooms, users can get clearer meeting audio without multiple expensive in-room microphones, enabling participants to use a laptop’s microphone as an additional meeting audio source for enhanced sound quality and clarity. The new “listen” feature in companion mode provides the option for users to listen to a meeting through connected headphones or assistive devices, helping improve audio for individuals with hearing impairments or when hearing is difficult. 
  • Zoom Meetings now provides enhanced caption services in Portuguese, with Welsh and Hebrew coming soon.  
  • The Zoom AI Companion side panel is now available in more languages: Chinese (Traditional and Simplified), French, German, Japanese, Portuguese, Spanish, Italian, Korean, Indonesian, Polish, Russian, Swedish, Turkish, Vietnamese and Dutch (Netherlands). 
  • Zoom Whiteboard with containers for advanced diagramming enables users to access containers from the shape panel to group and organise related objects.

Zoom Workplace enhancements, including the new Zoom Clips avatars, are available at no additional cost with the paid services in Zoom accounts. Some features may not be available for all regions and industry verticals and limits may apply. 

Zoom Business Services 

Zoom has introduced new features for Zoom Revenue Accelerator, as well as AI Expert Assist and Workforce Management for contact centre agents and sales teams 

  • Sales leaders and revenue organisations are now equipped to move deals forward and collaborate with their teams anytime, anywhere, with Zoom Revenue Accelerator Mobile (ZRA Mobile). With ZRA Mobile, sales teams can transform idle moments into productive revenue-generating opportunities, allowing them to review calls, provide feedback, and share insights directly from their smartphones. 
  • Zoom Contact Centre users can create customisable smart note templates for AI Expert Assist, automating the note-taking process and ensuring consistency across customer interactions. AI captures key details like account numbers and escalation requirements in the template format, standardising documentation to meet business needs. 
  • Zoom Workforce Management admins can now mark special days to refine forecasting during holidays, closures, or anomalies. Admins can adjust the volume or handle time for these special days, ensuring more accurate staffing predictions while tracking all changes in audit reports.
