Zoom Spaces introduces new AI-First Experiences

Zoom has introduced new innovations for Zoom Spaces, including:

  • Photo check-in for Visitor Management (due September 2025)
  • Voice Recorder with AI Companion for Zoom Rooms
  • Workspace Reservation (due end June 2025)
  • Collaborations with HP, Google, Cisco (end of 2025), Meta (end of July 2025), Logitech certifications, and more.

“The future of office work is being revolutionized. Zoom Spaces transform how we think about collaboration by creating dynamic environments where innovation and productivity aren’t limited by physical presence,” said Jeff Smith, head of Product for Workplace AI, Meetings, and Spaces at Zoom. “Through cutting-edge AI-first technologies like photo check-in for Visitor Management and Recorder with AI Companion for Zoom Rooms, Zoom Spaces is fostering a more connected, inclusive workspace that adapts to how modern teams actually work, enabling human connection and engagement whether you’re in the office or joining a meeting remotely.”

Visitor Management
Employees can invite guests to the office, alert hosts when guests arrive and initiate badge printing. To expedite the check-in process, visitors will have the option to use photo check-in at a Zoom Rooms kiosk without the need for a code. Leveraging AI, Visitor Management can match the visitor to their photo uploaded during registration to check in the visitor immediately.

Workspace Reservation integrated with AI Companion
Employees can manage their in-office time by recommending which days to go into the office based on scheduled meetings and when colleagues are expected to be in the office; it can also book a recommended desk or a Zoom Room for users.

Smart Name Tags
When smart name tags for voice is enabled, contributions from speakers during a meeting can be attributed to related features like captions, transcriptions, and AI Companion meeting summaries.

Voice Recorder with AI Companion
Recorder with AI Companion enables users to hold in-person meetings and conversations in Zoom Rooms without the need to take notes, allowing participants to stay focused on the discussion. Recorder with AI Companion can transcribe conversations, generate meeting summaries and capture action items. Users enter a Zoom Room and enable Recorder with AI Companion with a few quick taps, even in meetings without virtual participants. It will also capture whiteboards and any content shared on-screen during the session.
To make it easier to take ownership of meeting assets like meeting summaries, recordings, and whiteboards from an ad-hoc meeting in a Zoom Room, a participant in the Zoom Room can claim and save those meeting assets by scanning a QR code or by pairing their mobile device to move the assets to their account through an email notification.

Zoom and Cisco
Zoom for Cisco Rooms will be available at the end of 2025 on Cisco collaboration devices for ad hoc and scheduled meetings, allowing customers to utilize their existing hardware and broaden their meeting experiences. Meeting participants will have a similar high-quality experience to the Zoom native app and will be able to join meetings and share content, as well as control various layouts like gallery view and multi-speaker view.
Customers will need to upgrade Cisco RoomOS to install Zoom for Cisco Rooms. The devices expected to apply for the Zoom Certified Hardware Program are Cisco Room Bar, Cisco Room Bar Pro, Cisco Board Pro, Cisco Board Pro G2, Cisco Desk Pro, Cisco Room Kit EQ, Cisco Room Kit EQX, Cisco Room Kit Pro.

Zoom and Google and HP
Zoom is collaborating with Google and HP to bring Google Beam to enterprises on the newly announced HP Dimension with Google Beam.
HP Dimension with Google Beam provides a native Zoom Rooms experience that will support three functions: new 3D immersive communication, 2D traditional video meetings, and 2D video meeting interoperability with cloud-based video services such as Microsoft Teams and Webex.

Zoom on Meta Quest
Users can host or participate in Zoom Meetings while working in a Quest headset in a call and also working on other apps. Users can join the Zoom Meeting while fully immersed to boost their focus or join in passthrough mode to still see their physical surroundings while on the call. Zoom Meetings can be a mix of participants using both Meta Quest headsets and other devices like computers and mobile devices.

Zoom and Logitech
Logitech has several new device certifications to help support the hybrid workforce:

  • Logitech’s Rally Bar with Sight is now the first Zoom Rooms Appliance certified to support Intelligent Director, which uses multiple cameras and AI to determine the best angle of the individuals in a Zoom Room to display within a meeting.
  • Users can also video-enable their open spaces and meeting rooms with Logitech’s new Rally Board 65, an all-in-one Zoom Certified Zoom Rooms Appliance that combines powerful audio and video capabilities with a 65-inch touchscreen display, offering seamless and intuitive collaboration while requiring minimal need for onsite IT support.
  • For users who take calls or meetings from their desk, or in a contact center, Logitech’s Zone Wired USB headset is now a Zoom Certified Workplace and Contact Center Headset, delivering premium audio and call clarity with advanced noise-cancelling microphone technology.
